Campaigns, Segments, and Branded Email

Choose a clear campaign goal

Define the action you want recipients to take before building the audience or writing the email. Examples include restarting an inactive opportunity, promoting storage to existing solar customers, announcing a service program, or sharing relevant company content.

One focused campaign is easier to measure and safer to target than a message that asks every contact to do several unrelated things.

Build a reusable segment

Create a segment from the customer, lead, quote, project, system, workflow, stage, ownership, branch, tag, equipment, status, or other available CRM criteria that describe the intended audience.

Segments are live. When the underlying CRM data changes, membership can change as well. Name the segment clearly and document its purpose so another teammate can understand why a person is included.

Use inclusion and exclusion rules carefully

Start with the smallest reliable set of inclusion rules, then add exclusions for contacts who should not receive the campaign. Check for completed sales, unsuitable project states, inactive records, internal test contacts, geographic limits, and other conditions relevant to the offer.

Do not use a marketing campaign as a substitute for transactional communication that must reach a specific customer about their project, invoice, signature, or appointment.

Preview the audience

Use the campaign’s audience preview before testing or scheduling. Review the recipient count and sample records, then inspect unexpected inclusions and exclusions.

Because the segment is connected to live data, preview it again immediately before the final send. A previously correct audience may have changed since the campaign was drafted.

Choose or create the email template

Select a reusable branded email template that matches the campaign’s goal. Use the company identity, readable layout, useful subject line, and one clear primary call to action.

Merge fields can personalize the message using CRM data. Use only fields that are reliably populated for the audience, and write sensible fallback wording when data may be missing.

Write for the recipient

  • Explain why the message is relevant to this audience.
  • Keep the most important information near the beginning.
  • Use one obvious next step.
  • Avoid unsupported urgency or claims.
  • Make linked pages match the promise in the email.
  • Include the required company identity and unsubscribe path.

Send a test

Send a test email before scheduling or delivering the campaign. Check the sender, reply-to address, subject, preview text, merge fields, links, images, mobile layout, footer, and unsubscribe link.

A test confirms presentation, not audience selection. You still need to review the live recipient preview separately.

Respect suppression and unsubscribe controls

Powerlily applies suppression and unsubscribe controls so contacts who should not receive marketing email are excluded. Do not bypass an opt-out by moving the same promotion into another list or template.

Keep consent and contact data current. Transactional obligations and marketing permission are different; follow the laws and company practices that apply to your recipients.

Use frequency controls

Frequency controls help prevent customers from receiving too many campaigns in a short period. Review the campaign cadence alongside automations and other scheduled outreach so the customer does not receive several messages that compete or contradict one another.

Schedule or send the campaign

When the audience, content, and controls are ready, choose whether to send now or schedule delivery. Confirm the company time zone and intended date before scheduling.

If the underlying offer, audience, or linked destination changes before the scheduled time, update or cancel the campaign instead of allowing outdated content to send.

Track campaign performance

The campaign results can report recipients, sent, delivered, opened, clicked, converted, and bounced activity. Use these figures to diagnose both delivery and relevance.

  • High bounce rate: review data quality and invalid addresses.
  • Delivered but not opened: review sender recognition, subject, timing, and audience fit.
  • Opened but not clicked: review the offer, content clarity, and call to action.
  • Clicked but not converted: review the landing experience and whether the next step matches the email.

Opens are useful directional data, but privacy features and mail clients can make them imperfect. Evaluate clicks, replies, conversions, and downstream CRM activity as well.

Duplicate successful campaigns carefully

Duplicate a campaign when its structure is reusable, then recheck the segment, subject, template, dates, links, and offer. Duplication saves setup time but does not make last campaign’s audience or content correct for the next send.

Campaigns versus automations

Use a campaign for a deliberate message to a defined audience. Use an automation for event-driven or timed follow-up that should run repeatedly as records meet the trigger and conditions.

The two can complement each other. A campaign can create interest, while an automation handles the individual follow-up after a recipient takes a measurable action.

Final review checklist

  • The campaign has one clear goal and call to action.
  • The segment rules describe the intended audience.
  • The audience preview has been reviewed immediately before sending.
  • Unexpected recipients and exclusions have been investigated.
  • Merge fields have suitable data or fallback wording.
  • Links, images, branding, and mobile layout passed the test send.
  • Suppression, unsubscribe, consent, and frequency controls are respected.
  • The send time and company time zone are correct.
  • The linked destination is ready.
  • Results will be evaluated using delivery, clicks, conversions, and CRM activity.
