Analytics, Reporting, and Performance Insights

Use lead, quote, campaign, and fleet analytics to understand conversion, revenue, team performance, acquisition sources, and installed-system results.

How reporting is organized

Powerlily brings reporting into the workspaces where your team already manages leads, quotes, campaigns, and installed systems. Each view answers a different set of questions:

  • Lead analytics shows volume, signed conversion, pipeline distribution, acquisition sources, intake channels, and lead-form performance.
  • Quote analytics shows sales activity, close rate, revenue, deal size, system capacity, and team performance.
  • Campaign reporting helps you review delivery, opens, clicks, and prospect activity.
  • Fleet insights summarizes installed-system scale, generation, provider mix, and environmental impact.

Use these views together. Lead reports explain how opportunities enter and move through your pipeline, quote reports explain what turns into signed business, and fleet insights show the operating portfolio created by that work.

Start with scope and filters

Before interpreting a number, confirm the records and dates included in the view. Reporting respects the same record visibility, branch access, workflow access, and pricing permissions that apply elsewhere in Powerlily. Two users can therefore see different totals if their access differs.

For a useful comparison:

  1. Choose the date range you want to study.
  2. Apply a branch, team member, source, form, channel, or other available filter.
  3. Record the filter set when sharing results with another person.
  4. Compare like-for-like periods and scopes.

Lead analytics

Open the lead insights view when you want to understand lead volume, conversion, recent intake, pipeline distribution, and acquisition performance across the leads you can see.

Headline metrics

  • Total leads is the number of leads in the current visible scope.
  • Converted counts leads associated with signed quotes.
  • This month shows recent lead intake for the current month.
  • Signed conversion divides leads with signed quotes by total visible leads.

Signed conversion is not the same as a stage-completion rate. It is tied to signed quote evidence, so it is the better measure when you want to connect lead activity to completed sales.

Trend and pipeline views

The recent trend chart helps you spot changes in incoming lead volume. The pipeline-stage view shows how leads are distributed across the stages available to you, including each stage's count and share of the total.

A large concentration in one stage can be a prompt for review, but it does not prove a bottleneck by itself. Check assignment, age, notes, and recent activity before deciding what action to take.

Sources, intake channels, and lead forms

Use the acquisition breakdowns to answer three related questions:

  • Source: Where did the lead originate?
  • Intake channel: How did the lead enter Powerlily?
  • Lead form: Which form captured the lead?

Keep these fields consistent when importing, creating, or integrating leads. Fragmented naming, such as multiple spellings for the same partner or campaign, will split the reporting into separate groups.

Performance signals

The insights view can highlight weekly lead growth, the top source, an average completion interval, and estimated revenue potential. Interpret these carefully:

  • Weekly growth compares the most recent seven days with the preceding seven days.
  • Average response currently reflects the elapsed time from creation to the latest completion update for recently completed leads. Treat it as a completion-time indicator, not a first-response service-level metric.
  • Top source identifies the source contributing the most visible leads.
  • Revenue potential is an estimate based on active leads' power-bill values and an internal annualization multiplier. It is not contracted, invoiced, or recognized revenue.

Export lead data

Use the CSV export when you need detailed analysis, reconciliation, or a working file for another approved process. The export can include contact details, stage, source, form, channel, ownership, power-bill and service information, completion status, timestamps, and configured custom fields.

Apply the right filters before exporting, then handle the file according to your organization's privacy and data-retention practices.

Quote analytics

The quote analytics dashboard connects proposal activity with signed outcomes, revenue, capacity, and team performance.

Choose the reporting period

Set a custom date range or use a quick period such as Today, This Week, This Month, or This Quarter. You can also filter by team member. Where a previous-period comparison is shown, Powerlily compares the selected period with the immediately preceding equivalent period.

Sales and revenue metrics

  • Quotes sent measures proposal activity during the selected period.
  • Quotes signed measures accepted proposals.
  • Close rate shows the signed share of sent quotes.
  • Total revenue sums the relevant signed value available to the current user.
  • Average deal provides a per-deal revenue benchmark.

Revenue figures are visible only to users with the required pricing access. If a teammate cannot see a value you can see, verify their role and pricing permission before treating it as a reporting error.

System capacity metrics

Capacity reporting summarizes the kilowatts sold and can include average system size and average panel count. These measures help connect commercial performance to design, procurement, and installation workload.

Team performance

The team table can compare quotes sent, signed deals, conversion rate, total revenue, average deal size, average close time, and capacity. Sort the table by revenue, conversion rate, deal count, or average deal size to explore different performance questions.

Use this table as a starting point for coaching and workload review. Differences can reflect territory, lead mix, project size, access scope, or reporting period, not only individual performance.

Export a quote report

Use the dashboard's export option to generate a PDF report for the selected analytics view. Recheck the date range, team filter, and permission scope before distributing the report.

Campaign reporting

Campaign reporting helps you review audience totals and delivery activity, including tracked opens and clicks when supported by the configured email service. Prospect activity can also appear in the related timeline.

Email-open data is directional. Privacy protections, automated scanners, image blocking, and client behavior can affect it. Give stronger weight to delivery, clicks, replies, booked activity, and downstream lead or quote outcomes.

Fleet insights

Fleet insights summarize the installed systems your organization can see. Depending on the connected data, the view can help you review portfolio size, installed capacity, lifetime generation, deployment history, monitoring-provider mix, and environmental-impact equivalents.

Use fleet reporting for portfolio-level patterns. For troubleshooting a specific installation, open the individual system and review its current monitoring data, equipment, files, and service history.

Keep the data trustworthy

  • Use standard source, channel, and campaign names.
  • Assign records promptly and keep pipeline stages current.
  • Mark completed work consistently.
  • Record signed acceptance in the quote workflow rather than relying on notes alone.
  • Review missing power-bill, ownership, and system-size values.
  • Avoid changing historical classifications solely to improve a dashboard.

A practical review rhythm

Weekly

  • Review new lead volume and the recent trend.
  • Check stage distribution and unassigned work.
  • Compare sources, forms, and intake channels.
  • Review quotes sent, signed, and close rate.

Monthly

  • Compare the month with the preceding equivalent period.
  • Review revenue, average deal size, and capacity sold.
  • Study team results with territory and lead mix in context.
  • Check campaign engagement against actual downstream outcomes.
  • Review fleet growth and monitoring coverage.

Troubleshooting

A dashboard total looks too low

Clear or review filters, confirm the date range, check whether completed records are included, and verify your branch, workflow, and record access.

Revenue is missing

Confirm that your role can view pricing and that the relevant quote records are in the selected scope.

A source or form appears more than once

Check for inconsistent naming or historical values. Standardize future intake and carefully correct records when appropriate.

Conversion does not match a stage count

Lead conversion is based on signed quotes, while pipeline stages describe the current workflow position. They measure different things.

An exported report differs from another user's report

Compare the exact date range, filters, branch, team member, workflow access, pricing permission, and record visibility used by each person.
